Duties and Responsibilities:
Under the overall guidance and supervision of the Project Manager/s, provides support to office operations performing a variety of standard administrative processes ensuring high quality and accuracy of work. The Project Assistant will work under the overall supervision of Chief, CCRE Unit, UNDP, New Delhi. She/he promotes a client-oriented approach consistent with UNDP rules and regulations. The Project Assistant works in close collaboration with state project team members for resolving administration and finance related issues and information exchange. Candidates will primarily be responsible for executing work related to financial management and providing administrative support for project implementation
1.Preparation of expenditure reports, budgets, revisions and projections for the CCRE team etc.
2. Preparation of the financial reports for donors, UNDP and Government as per the requirement.
3.Process timely payments of vendors, travel and other claims of staff. Coordinate with vendors and UNDP finance team for timely payment.
4.Coordinate with Finance team for filing responses for Government Ministries on project and its Finances.
5.Coordinate with Central Ministries and State Government for smooth project fund flow as per the Government of India and UNDP guidelines.
6. Assist in preparation of legal documents for contracting and procurement of goods and services, including maintenance and physical verification of assets.
7.Facilitate financial audits and process annual, half yearly and quarterly financial progress Reports.
8. Filling and documentation of important papers
1. Provide administration and operational support at the central/national level.
2.Draft letters, invitations, meeting agenda and meeting minutes and make travel arrangements as needed.
3.Organize logistics for meetings/workshops/ events.
4.Support and guide States Project Management units in all the financial, administrative and operational issues.
5.Coordinate with counterpart in Central Ministries and State Departments to seek/provide project related information.
6. Assist in collation and compilation of data and information from the concerned implementing partners
7. Facilitate in preparing and monitoring contracts, follow ups with the contractors/consultants
8.Maintaining project documents, inventory, correspondence and communications
9.Any other function as required pertaining to the effective implementation of the climate change programme.
